The Challenge
Our Client is a multinational industrial technology group serving manufacturing
companies
worldwide through a network of autonomous distributors. Each distributor manages its own local sales
relationships,
marketing activity, and market knowledge. That autonomy is a commercial strength, but it had also fragmented
the
group's view of its global pipeline.
Leads generated through different channels had to be matched manually to the appropriate distributor and
salesperson.
Market and competitive intelligence remained in individual experience and spreadsheets, while reporting on
business by
market segment and customer type lacked a consistent, shared source of information.
The Client needed one CRM that the entire distributor network could use every day and that headquarters could
use to
understand the business as a whole, without undermining the independence that makes the network effective.
The Solution: Microsoft Dynamics 365
Dynamics People implemented Microsoft Dynamics 365 as the Client's global CRM,
following
the Microsoft Dynamics Sure Step methodology. The solution covers the complete Lead to Offer process,
including lead,
opportunity, quotation, account, and contact management, together with marketing campaigns, exhibitions, sales
forecasting, and structured market surveys.
The platform was designed for both the Client's sales engineers and the independent distributors selling on
the
group's behalf. The initial implementation became the foundation for a long-term program of continuous
refinement: new
reports, new modules, process changes, data migrations, and the progressive retirement of legacy systems as
business
needs evolved.
The Role of Dynamics People
A CRM for an autonomous distributor network is not only a data model. It must
continually
resolve governance questions: which figures roll up to headquarters, which records each distributor can see,
how local
market ownership is respected, and how common processes evolve without weakening distributor independence.
Dynamics People has supported that balance throughout the partnership, translating new requirements into user
stories,

One Pipeline across Every Distributor
Beyond the day-to-day Lead to Offer process, Dynamics People developed reporting that reflects the way the Client segments its business. Global order data can be analyzed by OEM and end-user customers and by market segment, even when that classification is not known when an order is entered.When a distributor cannot identify the final market segment for a specific order, the report applies a percentage breakdown defined for that account. Headquarters receives a meaningful and consistent global view instead of a report with gaps, while the local distributor is not asked to provide information it does not have.
Competitive Intelligence as a Global Process
Dynamics People also created a structured annual competitive-intelligence process
for the
full distributor network. The distributor closest to a competitor estimates its business by product line and
market.
Other distributors then confirm or adjust the estimates for their own markets and in their own currencies,
before
headquarters reviews and approves the consolidated figures in euros.
This replaces knowledge held informally by individual salespeople with a repeatable discipline fed by the
people
closest to each market and consolidated into one group-wide view.
A Process That Continues to Evolve
Much of the work has consisted of targeted improvements rather than isolated major
releases. Dynamics People standardized quote revisions on native Dynamics 365 functionality, restructured how
projects
are represented in CRM and migrated the underlying data, and refined lead qualification so that multiple
enquiries
from the same company create one opportunity and account instead of duplicate records.
Legacy tools have been retired progressively. Website enquiries now enter an automated flow that creates a CRM
lead
immediately and assigns it to the correct sales engineer according to territory.
